Custom CRM vs HubSpot or Zoho: which fits a Malaysian business?

HubSpot or Zoho CRM is usually enough when your sales process resembles the standard pipeline those products are designed around. A custom CRM, or a custom extension to one, makes sense when your process, permissions or integrations with WhatsApp and Malaysian accounting software force repeated manual work. Macoin Technologies in Puchong, Selangor, will tell you honestly which side you are on.

When is HubSpot or Zoho enough?

Choose an established product when your team sells in a familiar way: leads come in, deals move through stages and managers need a pipeline report. These products are mature, well documented and quick to start. If your team can work inside the standard features with light configuration, building custom is rarely justified.

Try the free or trial tier with real deals for a few weeks before committing. Watch where people leave the system to finish a task in a spreadsheet or chat. If that rarely happens, configuration and training are a better investment than development.

Subscription products also carry support, security updates and new features you do not have to build. For a small sales team with a straightforward process, that is a genuine advantage. Our advice to many businesses is to start there and revisit the question when the workarounds start to cost real hours.

When does a custom CRM pay off?

Custom pays off when the CRM must enforce rules that are specific to your business, such as multi-step approvals, commission structures, branch-level permissions or a quotation process tied to stock. It also helps when per-user subscription costs grow faster than the value each extra seat adds.

Property agencies, distributors, clinics and service companies often have processes that do not map neatly onto a generic pipeline. A distributor may need credit limits checked before a quotation goes out. A clinic may need appointments, packages and follow-ups in one record. Those are the cases where generic tools create work instead of removing it.

Count the workarounds. If staff export data every week to calculate commissions, reconcile orders or chase approvals, you are already paying for a custom system in salaries. A focused custom CRM, or a custom module that sits beside your existing tools, can remove that work and keep the records in one place.

What about WhatsApp and accounting integration?

Malaysian sales often happen on WhatsApp and finish in AutoCount, SQL Account or another local accounting package. Off-the-shelf CRMs may support some of this through apps or connectors, but coverage varies. Confirm exactly which actions sync, in which direction, before assuming the integration solves the problem.

WhatsApp integration runs through Meta's WhatsApp Business Platform, which has its own approval steps, template rules and per-message pricing. Decide which conversations should be logged against a customer and who can reply. A CRM that records everything but cannot route a chat to the right person still leaves the problem unsolved.

For accounting, name the system of record for customers, invoices and payments. A custom integration can push confirmed orders to accounting and pull payment status back, so sales stop asking finance. The same principles apply whether the CRM is custom or a subscription product extended with custom connectors.

Can we combine a subscription CRM with custom work?

Often yes, and it is frequently the most economical option. Keep HubSpot or Zoho for contact management and the pipeline, then build custom integrations or a small companion app for the process that does not fit. You pay for development only where the product falls short.

This hybrid approach depends on the product's API and plan tier, because some integration features sit behind higher subscriptions. Check what the API allows before designing around it. If the custom part grows to become most of the system, it may then be simpler to move the whole CRM in-house.

Macoin can review your current setup and recommend one of three routes: configure the product you have, extend it with custom integrations, or build a CRM around your process. We are flexible on scope and budget. WhatsApp +60 18-263 7350 with a short description of your sales process to start.

No. If an existing product covers your process with configuration, we will say so. Custom work is recommended only where it removes measurable manual effort.
