Mobile app, backend and admin dashboard: the full scope

A full business app usually spans three connected parts: the iOS or Android interface, a backend API and database, and an admin dashboard for staff. A complete brief defines what each part does, who can access it and how records stay consistent. Scope all three explicitly before comparing development quotations.

What belongs in the mobile app?

The app is the interface customers or staff use on a phone. Its scope includes the journeys they complete, the information they can view and the device capabilities they need. It should not be the sole authority for sensitive business rules such as permissions, balances or transaction status.

For a booking system, define account registration, class selection, booking confirmation, cancellation and payment status. Specify how the interface explains an unavailable slot or a failed request. A screen list alone does not establish these states, and users encounter them in normal daily use.

Also define the information the app should retain locally and what happens when a connection fails. Offline capability is a separate design requirement, not something every mobile application automatically provides. The appropriate behavior may be a read-only view, a saved draft or a queued action with conflict handling.

What does the backend API and database do?

The backend validates requests, applies business rules and stores the authoritative records. The API is how the app and other authorized systems communicate with it. The database structure must support the workflow, while access checks prevent one user or organization from reading or changing another's records.

A payment callback and a customer's confirmation screen may arrive at different times. Specify which provider event confirms payment and what prevents a repeated callback from creating a second transaction. Similarly, a class capacity check must handle two customers attempting to take the final place.

The API needs tests for rejected requests as well as successful ones. OWASP's API Security Project is a useful reference for discussing authorization and exposure risks with a supplier. A login screen alone does not demonstrate that access control is enforced for every server request.

What should an admin dashboard let staff do?

An admin dashboard gives authorized staff the tools needed to operate the service. Its scope may include user management, records, booking changes, payment reconciliation, reporting and permissions. Document which staff roles can perform each action and which changes need an audit trail or a second approval.

Ask staff to describe a difficult day: a customer requests a refund, a class is cancelled, a record is entered incorrectly or an account must be suspended. Those scenarios reveal administration needs that an attractive customer interface can hide. A system is not operationally complete if each exception requires a developer.

Macoin's MaCoffee portfolio describes merchant and customer apps with an admin panel. That is a useful model for discussing several user types against one set of records. For a new project, the dashboard's exact actions and reporting requirements need to be scoped rather than assumed from that example.

How do we test and hand over the complete system?

Test a workflow across the app, backend and dashboard, not just each screen separately. Define the expected records and permissions after each action. The handover should include code, deployment instructions, account access and data-restoration responsibilities so the business can continue operating after the initial build.

For a membership purchase, check the payment event, membership record, customer view and staff report together. Repeat the test for interruption, duplicate notification and unauthorized access. These are acceptance scenarios a buyer can understand without reading the implementation.

Before asking for a quotation, list the app journeys, backend rules, staff actions and external systems. Tell Macoin what is already available and what must be built. WhatsApp the brief for a quotation that makes the mobile, backend and admin scope visible rather than hiding it in one ambiguous line item.

Yes, when the API and permission model are designed for those clients. The shared backend still needs clear rules for authentication, authorization and changes to its contract.
