What actually changes the price of an app?

The largest scope differences usually sit behind the interface: user roles, business rules, payment handling, integration work and administration. Two apps with similar screens can require very different systems. Describe the actions each user must complete and the records staff must manage before asking suppliers to compare prices.

A booking button may look simple while requiring schedules, capacity rules, membership eligibility, cancellations and payment reconciliation. An app that only displays a timetable is a different project from one that manages those rules. Counting screens does not capture that distinction.

Write a short acceptance scenario for every important action. For example: a member books an eligible class, their credit is deducted once, staff see the booking, and a cancellation follows an agreed policy. This gives developers a common unit of scope and makes quotations easier to compare.

Can a RM10,000–RM30,000 budget cover both platforms?

Treat RM10,000–RM30,000 as a budget constraint to discuss, not a promise that a complete custom platform fits. Ask what can be delivered as a focused first release and which items need separate estimates. A cross-platform codebase can share work, but backend, administration, testing and release preparation still need effort.

Bring the same brief to each supplier and ask for a written list of inclusions and exclusions. A low headline price may cover an interface connected to an existing API. Another proposal may include a new database, custom business logic and a staff dashboard. Those quotations are not equivalent.

If the first release must fit a firm budget, choose one core workflow and reduce optional functionality. Keep account ownership, access control, error handling and deployment in the discussion. What should the quotation include?

Request a scope that connects each deliverable to a testable outcome. Include the app, server-side functionality, staff tools, integrations, release responsibilities and handover. Distinguish a working production system from a prototype or design file, and document what counts as a change request after the scope is agreed.

Ask who creates the developer accounts, configures production hosting and completes store listings. Store submission support does not mean an agency controls Apple's or Google's approval decision. A release plan should also name the person who supplies screenshots, privacy information and review access.

Which expenses continue after launch?

Ask for recurring costs separately from the build quotation. Hosting, storage, email or messaging services, payment-provider charges and maintenance can have different owners and billing arrangements. Agree what support includes, how incidents are handled and how enhancements are estimated before signing the development scope.

Keep the business in control of accounts wherever possible. If the developer manages an account on your behalf, record how access and billing transfer when the relationship ends. Request documentation for restoring data and redeploying the service, rather than assuming that a source-code archive is the entire handover.
