Software house vs freelancer in Malaysia: which should you hire?

A freelancer suits a small, well-defined job with a clear end. A software house suits a system the business will depend on, because design, development, testing and support sit with one accountable company. An in-house hire suits continuous product work. Macoin Technologies, a software house in Puchong, Selangor, scopes a first release to your budget before quoting.

What is the real difference between the three options?

The difference is who carries the risk when something goes wrong. A freelancer carries it personally. A software house carries it as a company with several people who know the system. An in-house hire moves the risk to you, along with recruitment, management and retention of the person.

Price comparisons often ignore this. One developer can build a good system, but a single person is also a single point of failure for holidays, illness and other commitments. A company can cover absence, review code and keep delivering when one engineer is unavailable. That continuity is part of what a software house charges for.

Hiring internally gives the most control and the deepest product knowledge over time. It also brings salary, benefits, equipment, management time and the challenge of recruiting senior engineers in the Klang Valley. A first hire often needs a design, testing and infrastructure skill set that one person rarely covers alone.

How do costs compare in Malaysia?

Publicly listed rates from Malaysian providers place developer time between about RM80 an hour for junior work and RM400 or more for senior specialists. A freelancer usually quotes lower than a company. Compare the full scope, though, because testing, project management, deployment and support are often excluded from lower headline prices.

The Advisory Apps 2026 guide gives the RM80 to RM400+ hourly range for the Malaysian market and estimates annual maintenance at roughly 15 to 25 percent of the initial build. Treat these as market reference points, not as Macoin's prices. Two quotes are only comparable when they cover the same deliverables.

Macoin is flexible about budget. We prefer to hear your range early and shape a first release that fits it, rather than inflating a scope you then have to cut. Pricing is confirmed through a quotation on WhatsApp at +60 18-263 7350 after a short discussion of the workflow.

  • FreelancerLower day rate, fastest to start, highest dependency on one person.
  • Software houseHigher rate, a team behind the system, contractual accountability and ongoing support.
  • In-house hireMonthly salary and overheads, full control, and the burden of recruitment and retention.

When is a freelancer the right choice?

Choose a freelancer for a contained task with a clear end: a landing page, a small plugin, a design file or a prototype to test an idea. The work should not hold business-critical data, and you should be able to replace the person without losing access to your system.

Protect yourself with the same basics you would ask of a company. Keep the domain, hosting, app store and code repository accounts in the company's name. Agree in writing that the source code belongs to you on payment. Ask for a short handover note so another developer could continue the work.

Problems usually start when a small freelance project grows into an operational system without anyone changing the arrangement. If staff now depend on it every day, review whether one person can still support it reliably, or whether the system needs a team and a support agreement.

When should you choose a software house?

Choose a software house when the system runs part of your business: customer bookings, payments, a CRM, internal approvals or a mobile app your customers rely on. These need design, backend work, testing, deployment and support to work together, and they need someone accountable after launch.

Ask any software house who will actually write the code, whether any of the work is subcontracted and what you receive at handover. Macoin's engineers are on our own payroll, nothing is subcontracted, and clients receive the source code, documentation and deployment setup on full payment. Our team page lists the people involved.

Our public portfolio includes Jian Pilates, a membership platform with booking, payments and loyalty, and MaCoffee, a merchant and customer platform with an admin panel. Visit our Puchong office in Bandar Puteri, or send your brief on WhatsApp, and we will tell you honestly if a freelancer would serve the job better.

Usually per hour, not always per outcome. A lower rate can cost more if testing, deployment or support are missing, or if the system has to be rebuilt when the original developer is unavailable.
