Inventory management system in Malaysia: outlets, marketplaces and POS
An inventory management system keeps one accurate stock count across warehouses, outlets and online channels. For Malaysian businesses selling on Shopee, Lazada or TikTok Shop alongside physical stores, the hard part is synchronising stock fast enough to avoid overselling. Macoin Technologies in Puchong, Selangor, builds and integrates inventory systems for Klang Valley and Malaysian businesses, scoped to your channels and budget.

At minimum: stock on hand by location, incoming stock, reserved stock and movements with a reason for each. Many businesses also need batches, expiry dates, serial numbers or product variants. Decide which apply to you before comparing products, because they change the data model significantly.
Start with how stock moves physically. Goods arrive, get counted, move to an outlet, get sold, returned or written off. Every one of those steps should create a record with a user and a timestamp. Without that trail, a count discrepancy cannot be explained, only corrected.
Food, cosmetics and pharmaceutical businesses usually need batch and expiry tracking. Electronics often need serial numbers. Fashion needs size and colour variants. A system that suits one of these may handle the others poorly, which is a common reason off-the-shelf tools stop fitting as a business grows.
How does marketplace stock sync work?
Shopee, Lazada and TikTok Shop each provide seller APIs through their open platforms. An integration reads orders and updates available stock on each channel. The challenge is timing and reservation: stock must be held when an order arrives so another channel cannot sell the same unit.
Decide whether each channel gets the full stock count or an allocation. Allocations reduce overselling risk but can leave stock idle on one channel while another runs out. A central system that reserves stock on order and releases it on cancellation lets you share one pool more safely.
Marketplace APIs have rate limits, approval steps and rules that change. Ask how the integration handles a failed update, a cancelled order and a return. A good design logs every sync and alerts staff when a channel stops responding, rather than silently drifting out of step.
Each platform also limits which fields and actions its API exposes, and those limits change over time. Confirm during discovery that the actions you need, such as updating stock per variant or reading return status, are supported for your seller account type. Building on an assumption that later proves wrong is a common cause of delay.
How does POS fit in?
A point-of-sale system records in-store sales and should reduce stock in the same central count used by online channels. Either the POS is part of the inventory system or it is integrated with it. What matters is that a sale anywhere updates availability everywhere within an acceptable delay.
Ask what happens when an outlet loses internet. Some POS products queue sales offline and sync later, which is practical but means stock can briefly be wrong. Agree an acceptable window and a reconciliation process instead of assuming connectivity is constant.
If your current POS works well, integrating it is usually cheaper than replacing it. Check whether the POS vendor provides an API or export. Macoin's MaCoffee project connects merchants, customers and an admin panel, a useful reference when discussing multi-party retail workflows.
When should we build a custom inventory system?
Build custom when your stock rules, channels or reporting do not fit existing products without manual reconciliation. Bundles, consignment, made-to-order items or complex outlet transfers are common triggers. Otherwise an established product with integrations is usually the better starting point. Macoin will advise honestly either way.
Count the hours spent each week reconciling stock across channels and correcting oversold orders. If that number is high and growing, a system designed around your rules can pay for itself. If it is low, configuration of an existing tool is probably enough.
