WhatsApp Business API automation in Malaysia: connect it to your systems

WhatsApp Business API automation connects WhatsApp to the systems your business already runs, so bookings, order updates and enquiries flow into a CRM or database instead of staff phones. Meta charges per delivered message by category. Macoin Technologies in Puchong, Selangor builds the integration layer, either alongside an existing inbox tool or as a custom system.

What is the WhatsApp Business API, and do we need it?

The WhatsApp Business Platform, often called the API, lets software send and receive WhatsApp messages for a business number. You need it when several staff share one number, when messages must create or update records, or when you send templated notifications such as booking reminders at volume.

The free WhatsApp Business app suits a small team replying by hand. It stops scaling when conversations need assigning, when the same customer is answered twice, or when nobody can see the history after a staff member leaves. The platform moves messaging into software where those rules can be applied.

Many Malaysian businesses use a shared inbox product built on the platform, and for plenty of them that is enough. Custom work becomes useful when WhatsApp must connect deeply to your own CRM, booking engine, order system or ERP, and the off-the-shelf connector cannot express your business rules.

How does Meta charge for WhatsApp messages?

Meta charges per delivered business-sent message, priced by category: marketing, utility, authentication and service. Messages from customers to the business are free. From 1 October 2026, service messages are charged after the first 1,000 per business number each month. Malaysia has its own rates on Meta's rate card.

The categories matter for design. A booking reminder is a utility template; a promotion is marketing and costs more. Sending a promotion disguised as a utility message risks the template being reclassified or rejected. Check Meta's official pricing page for the current Malaysia rates rather than relying on figures quoted by a reseller.

Meta also offers a free entry-point window: messages within seven days after a user clicks an ad that opens WhatsApp are generally not charged. Inbox and platform providers then add their own subscription fees on top of Meta's charges. Ask any supplier to separate those two costs in writing, and to estimate your monthly bill from your real message mix rather than a generic example.

  • MarketingPromotions and offers, sent as approved templates.
  • UtilityTransactional updates such as booking confirmations and delivery status.
  • AuthenticationOne-time passcodes for login and verification.
  • ServiceFree-form replies within the customer service window.

What can be automated end to end?

Common automations include booking confirmations and reminders, order and delivery updates, lead capture into a CRM, payment links, appointment rescheduling and routing enquiries to the right team. An AI assistant can answer routine questions first and hand over to staff with the conversation history attached.

The integration is the important part. When a customer books through WhatsApp, the booking should exist in the booking system, not only in a chat log. When an order ships, the status update should come from the order system automatically. That requires reliable webhooks, retries and a clear record of which system owns each piece of data.

Opt-in and personal data need attention. Record how and when each customer agreed to receive messages, honour opt-outs promptly and handle phone numbers and conversation content in line with Malaysia's PDPA. The Personal Data Protection Department publishes current guidance, including on breach notification and data protection officers.

Should we buy an inbox tool or build a custom integration?

Buy an inbox tool when the main need is shared replies, labels and simple broadcasts. Build a custom integration when WhatsApp must read and write your own records, enforce business rules or feed reporting. Often the answer is both: an inbox for staff, with a custom service connecting it to your systems.

Ask any provider what happens to your number, templates and conversation history if you move supplier. Keep the Meta Business account and phone number registered to your company. That ownership question matters more over three years than a small difference in monthly subscription price.

Macoin builds backend services and APIs that connect messaging to CRM, booking and order systems, and we are open to working alongside a tool you already use. Our approach is flexible and phased to budget. WhatsApp us your current setup, monthly message volume and the records that need to stay in sync.
